Registration

University Board Rule 40-30-01 Student organizations: policies, sets forth privileges granted to registered student organizations (RSOs). Student Organizations must register with the Center for Student Involvement each academic year to benefit from these privileges.

University Board Rule 40-30-01 Student organizations: policies, sets forth the criteria to receive RSO status.  The criteria to receive RSO status is as follows:

  1. The organization applying for registration must fill a need for students not currently being met by an existing RSO on campus.
  2. The constitution, bylaws, and governing documents of the organization applying for registration must be consistent with University rules, regulations, guidelines, processes, and policies (collectively, “University authority”) and relevant federal, state, and local laws, regulations, court opinions, and any other applicable legal authority (collectively, “legal authority”).
  3. The constitution, bylaws and governing documents of the organization applying for registration must be consistent with University Board Rule 40-30-01 and any written procedures established pursuant to section (A)(2) of the Rule.  
  4. A registration application with a signed agreement to comply with University authority and legal authority must be submitted with the constitution, bylaws, and governing documents and submitted annually thereafter.
  5. All charter members of the organization applying for registration must be matriculating University of Cincinnati students.
  6. The organization applying for registration must have a minimum number of ten student members to qualify for registered status.  Notwithstanding the foregoing, a social fraternity or sorority may have a minimum number of five students to qualify for initial registered status but must meet the ten-member minimum within two years of initial registration.
  7. The organization applying for registration must have a University advisor who is a member of the University faculty or staff. 
  8. The organization applying for registration must at least have the following two officers: president and treasurer. Written procedures established pursuant to section (A)(2) of University Board Rule 40-30-01 may set forth additional officer requirements.
  9. The operation and the responsibility of an organization applying for registration must reside with the students, as enumerated in this rule and any written procedures established pursuant to section (A)(2) of University Board Rule 40-30-01. 

Any matriculating student is eligible to submit a new organization registration during the new organization registration period.  New organization registration opens on GetInvolvedUC on the first day of classes in the fall and spring semesters and remains open for 6 weeks. 

Upon receiving your submission, you will be assigned a peer liaison from the Student Activities Board (SAB). The SAB liaison will review your application and meet with you to answer any questions and suggest any edits to your submission. Once your SAB liaison has reviewed your application and determined all necessary materials are present, the appropriate administrative unit will review your application to determine whether it is complete and compliant with RSO policies. If your application is complete and compliant it will be approved. 

Within 30 days of approval, two representatives from your organization must attend a new organization workshop. New organization workshops are held at 6:00pm on the last two Thursdays of each month during the academic year. 

All RSOs must complete the annual re-registration process or RESET through GetInvolvedUC.  All RSOs must adhere to University Board Rule 40-3-01 Student organizations: policies, as well as all policies outlined in this document, and any policies and procedures set forth by an applicable administrative unit, to maintain their registration. All RSOs must keep up to date records and a roster on GetInvolvedUC.  RSOs that have not re-registered for two years must apply as a new organization if they would like to become active again.

When is RESET?

RSOs have two options to complete RESET: April 1 - May 15 or August 1 - September 15.

The process will be accessible from 12:00 am on the day the phase starts and close at 11:59pm the day that it closes.

Phase 1: April 1 - May 15

RSOs that have transitioned to the new president for the upcoming academic year should complete the RESET process during the Phase 1. 

Once the RESET window closes, RSOs that missed the deadline must complete the RESET process during Phase 2.

Competitive Organizations must complete the RESET process during Phase I. 

RSOs that wish to participate in Bearcats Welcome including the Involvement Fair must complete the RESET process during Phase I. 

Phase 2: August 1 - September 15

RSOs that transition to a new president after May 15 should complete the RESET process during Phase 2.

RSOs that missed the May 15 deadline will have the chance to complete RESET.

How do I complete RESET?

RESET is completed through GetInvolvedUC by the incoming president for the upcoming academic year. If your RSO transitions presidents more than one time a year, the president for the fall semester should complete RESET.

The registration process does not need to be completed in one sitting and can be resumed at any time (prior to the deadline) by going to My Submissions > Organization Registrations. 

RESET Instructions

  1. In order to re-register, you must be listed as the president of your RSO on GetInvolvedUC 
  2. If you are not the listed president, you may email sab@mailuc.onmicrosoft.com or ucinvolvement@uc.edu to ask for assistance in updating your RSO’s information.
  3. Log into GetInvolvedUC and go to your RSO’s page
  4. Click on “Manage Organization.”
  5. Click on the blue button that says “Re-Register this Organization.” 
  6. Complete all the steps that it prompts you to complete.

What happens after I submit my RESET application?

Upon receiving your submission, the appropriate administrative unit will review your application to determine whether it is complete and compliant with RSO policies.

If your application is complete and compliant it will be approved, and all updates made during the process will be reflected on your GetInvolvedUC page.

What if my application is denied?

An RSO whose RESET application has been denied will have the opportunity to resubmit their application for approval.  When an application is denied, the appropriate administrative unit will attach comments to the submission indicating what changes should be made to obtain approval.  

You do not need to start a new application to make changes!

To make changes on a denied application access the application by going to My Submissions > Organization Registrations. From there, click on the denied application and navigate to the part of the process that needs to be updated. Resubmit your application and the appropriate administrative unit will review it again.

RSOs that do not complete the required changes after the September 15 deadline, within 10 days of being asked to submit changes, are not eligible to be a Registered Student Organization for that academic year.

All RSOs are required to maintain an up-to-date constitution and bylaws uploaded to GetInvolvedUC. Constitutions & Bylaws must be reviewed and updated at least every two years. Reasons why an RSO may consider dissolving include low membership or merging with another RSO. To dissolve an RSO please contact the Center for Student Involvement to schedule a meeting to discuss next steps. If the RSO has an open bank account or outstanding debts, those will need to be resolved/closed prior to dissolving the RSO. If an RSO has received essential investments purchased with University funds, those will need to be returned to the Center for Student Involvement.
