Protection of Minors on Campus
What is the Protection of Minors Program?
The University of Cincinnati is committed to protecting minors who are participating in programs offered by the university, or in programs offered by outside entities that are held in university facilities. The University sponsors programs and activities that are specifically designed for children, for example, summer camps. The University also makes its facilities available to outside groups and organizations that conduct programs geared toward children.
The University is committed to providing a safe environment for all members of our community as well as all those who participate in programs and activities on campus. This page is designed to raise awareness of some concerns affecting children and equip us to address such issues appropriately.
Protection of Minors on Campus Policy
The University of Cincinnati’s Protection of Minors on Campus Policy 16.19 implements, safeguards, and describes the requirements for those in the University community who work with minors or who sponsor programs involving minors. The Policy serves to meet the University’s obligations as mandated by law and provides procedures to facilitate a safe experience for minors on the University’s campuses.
Note that a "Covered Program" is defined in the policy. Performances, events, or activities otherwise open or available to the general public at large such as, public meetings, campus tours, athletic competitions, and community events are not considered a Covered Program for purposes of this policy.
Program Registration
Before any programming involving minors can be sponsored by UC or take place on any UC campus, the program must be registered. UC sponsors intending to host activities on campus with minors must complete:
- Registration Form
- This form must be completed no less than thirty (30) days prior to the start of the program. It must include verification of training (see Required Training section below) and background checks for each authorized adult supervisor (see Background Checks section below).
- The College Dean or Unit Vice President hosting the program must review and approve all registration forms.
- Submit completed Registration Form and supporting documentation to emplabor@uc.edu. All sponsors submitting a form will be notified via email if/when their program has been approved. Please wait until you receive a final email verification from Human Resources before implementing your program.
- Submit Applicable Program Participant Forms
- All Program Participant Forms collected (see Forms for Program Participants section below) must be submitted to emplabor@uc.edu.
- Provide Proof of Insurance
- All providers of non-University sponsored programs must maintain similar coverage (General Liability $1 Million/ occurrence and $2 Million/aggregate, naming the University as an additional insured. Refer to URMIA to purchase sports camp coverage. Submit your certificate of coverage to emplabor@uc.edu.

Required Training
In order to drive the importance of our policy and to ensure that university employees, volunteers, and guests are following university approved procedures for those that work with minors on campus, there are three university approved e-learning programs:

- Protecting Children: Identifying and Reporting Sexual Misconduct
- Protecting Children: Shine a Light
Below is a detailed set of instructions for both volunteers and others to login, access, and complete the required training for minors programs. These mandatory training courses need to be completed annually.
University Employees
UC Employees will access SuccessFactors Learning to register for and complete the required training material relevant to the Protection of Minors on Campus program. Employees can register for these programs directly from following the links below. The link will take you to the registration page for the program in SuccessFactors Learning. Click on "Enroll" to add the program and all learning content to your Learning Assignments.
- Protecting Minors Employee: Complete this course if you will be helping in a minors on campus program, but not directing or supervising employee or affiliate volunteers.
- Protecting Minors Supervisor: Complete this course if you will be supervising any part of a minors on campus program.

Volunteer Login (Including University Students)
Volunteers will register for, and complete the required training for the Protection of Minors on Campus program via the EduRisk training platform.
Volunteers will need to follow the steps below after they have accessed the EduRisk education portal:
- Complete the Registration form.
- Enter your first name, last name, and email address
- Create and confirm your password
- Select your language
- Enter the following branch code: 494-89161
- Review and accept the Privacy Policy
- Click Next (You will be taken directly to the course content)
- Complete the training (You will receive a confirmation email upon successful completion of each course)

Background Checks
Minors in a Covered Program must stay under the supervision of an Authorized Adult Supervisor at all times, as outlined in the policy. All Authorized Adult Supervisors responsible for the direct on-site care, physical custody or control of minors in a Covered Program must complete an Ohio Bureau of Criminal Investigation (BCI) finger print background check and a Federal Bureau of Investigation (FBI) national criminal records check.
You can obtain a background check at the University of Cincinnati Public Safety Department located at Four Edwards, 51 W. Corry Blvd.
If there is no information on file, the results will be received within one to two days. If a history is found by the webcheck or the check is selected for hand verification, it could take up to 40 days.

Reporting
If you ever suspect misconduct with a minor on our campus, REPORT IT!
In the event of an emergency, an immediate threat, or if a crime is in progress, call 911 immediately. Anonymous Reports can be made by contacting 1-800-889-1547. Mandated Reporters must also report to the Ohio Department of Job and Family Services. Notify the University of Cincinnati Public Safety Department and the Office of Human Resources.
